Discipleship Tutorial ("DT," "we," "us," or "our") is a homeschool tutorial serving families in Middle Tennessee. This Privacy Policy explains what information we collect through our website (discipleshiptutorial.com), our family portal (app.discipleshiptutorial.com), and our communications with you, how we use it, and the choices you have.
By using our website or family portal, or by enrolling with Discipleship Tutorial, you agree to this Privacy Policy.
## 1. Information We Collect
**Information you provide.** When your family applies, registers, or uses the family portal, we collect information such as:
- Parent/guardian names, email addresses, phone numbers, and home address
- Student names, birth dates, grade levels, and class registrations
- Health-related information you choose to provide (such as allergies, medication permissions, and emergency contacts) so we can care for your student on campus
- Emergency contact and authorized-pickup information
- Church affiliation and umbrella school information, where you provide it
- Content you post in portal community areas (community board, classifieds, sign-ups)
- Photos submitted or taken for the yearbook and program materials, subject to your directory and photo preferences
**Payment information.** Payments (registration fees, tuition, supply fees, and lunch/snack card top-ups) are processed by Stripe, our payment processor. Your full card or bank account number goes directly to Stripe and is never stored on our systems. We keep records of the amounts, dates, and status of your payments and your lunch/snack card balances.
**Information collected automatically.** Like most websites, our portal keeps basic technical logs (such as sign-in activity) needed to operate the service securely. We do not use advertising trackers and we do not sell advertising.
## 2. How We Use Your Information
We use the information we collect to:
- Operate the tutorial: registration, class scheduling, attendance and check-in, student jobs, lunch and snack programs, and campus safety
- Communicate with you about your family's enrollment, schedule, balances, orders, and program news
- Process payments and maintain accurate financial records
- Maintain the family directory, visible only within our community and controlled by your directory preferences
- Meet legal, safety, and insurance obligations
Sensitive information is restricted inside our own team: for example, student allergy information is visible only to staff who need it (such as lunch volunteers and tutors), and home addresses and medical permissions are limited to administrators.
## 3. How We Share Information — and How We Don't
We do **not** sell, rent, or trade your personal information. We share information only with:
- **Service providers** that help us operate the program — such as Supabase (secure database hosting), Stripe (payment processing), Twilio (text messaging), and our email delivery provider — and only as needed to provide those services
- **Our staff and volunteers**, on a need-to-know basis governed by role-based access controls
- **Authorities**, if required by law or to protect the safety of a student or our community
**Mobile numbers.** We do not share, sell, rent, or trade your mobile phone number with any third party for their marketing purposes. **No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.** Text messaging opt-in data and consent are never shared with anyone other than the vendors that deliver our messages on our behalf.
## 4. Text Messaging (SMS) Program
If you provide your mobile number and opt in to text messages, Discipleship Tutorial may send you informational texts about your family's account and our program — for example, lunch card balance reminders, order confirmations, schedule reminders, and program announcements.
- **Message frequency:** varies, but is typically about **once per week** during the school year.
- **Message and data rates may apply.** Charges depend on your mobile carrier and plan.
- **Opt out at any time** by replying **STOP** to any message. You can also contact us at info@discipleshiptutorial.com to be removed from text messaging.
- **For help,** reply **HELP** to any message or email info@discipleshiptutorial.com.
- Consent to receive text messages is **not** a condition of enrollment or of purchasing any goods or services. If you opt out of texts, we will still reach you by email.
## 5. Children's Privacy
Our website and family portal are intended for use by parents, guardians, tutors, and staff — not by young children. Information about students is provided to us by their parents or guardians for the purpose of operating the tutorial. We collect only what we need to serve and safeguard students, we restrict who can see it, and we never sell it. Parents may review and update their student's information at any time in the family portal or by contacting us.
## 6. Data Security and Retention
We use role-based access controls, encrypted connections, and reputable hosted infrastructure to protect your information, and we back up our records regularly. We retain family and student records while your family is enrolled and afterward as needed for financial, legal, and historical purposes (for example, transcripts and yearbooks). You may ask us to delete information we are not required to keep.
## 7. Your Choices
- **Review and update** your family's information any time in the family portal
- **Directory preferences** let you control whether your contact information and map location appear to other families
- **Opt out of texts** by replying STOP; **opt out of non-essential email** using the link in the message or by contacting us
- **Ask questions or request deletion** by emailing info@discipleshiptutorial.com
## 8. Changes to This Policy
If we make material changes to this Privacy Policy, we will post the updated version on our website and note the new "Last updated" date. Continued use of the portal after changes take effect constitutes acceptance of the revised policy.
